Design once, personalise per person
Agree a single card design with the brand team, then treat name, role and photo as variable fields. Letting each region choose its own layout is how you end up with four versions of the logo in circulation and no way to reprint consistently.
Central control over profiles
Profiles should be managed from one dashboard rather than by each individual. That way a change of phone number, a new brochure or an updated tagline can be pushed across the whole team at once, and a departing employee's card can be deactivated the same day.
Plan for joiners and leavers
Decide up front who orders a card for a new starter, how quickly it arrives, and what happens to a card when someone leaves. Cards that stay live after an exit are a genuine risk, because they still carry your branding.
Start with one team as a pilot, fix the process problems there, then roll out. The technology is rarely what causes the difficulty.
